Set 05 · Application Letters · Cover Letters

The application letter, as asked for here.

Most job advertisements in Pakistan, the Philippines, India and the Gulf ask for an "application letter", not a cover letter. They are not the same document, and sending the wrong one is a small but real disadvantage. An application letter is shorter, more formal, states the post explicitly, and lists what is enclosed. Three samples: a school post, a hospital post, and a walk-in advertisement.

Why this one works

Application letter vs cover letter

The two are treated as synonyms in a lot of online advice written for a Western audience. In practice, in Pakistan and much of South Asia and the Gulf, they are different documents and employers expect the local one.

A Western-style cover letter opening with a striking sentence about your achievements is not wrong, exactly — but against fifty conventional letters it reads as unfamiliar with the process, and against an assessment committee that costs more than it gains.

Formal still allows numbers

The commonest weakness in application letters is that formality is used as a substitute for content. Three paragraphs of impeccable courtesy that say nothing measurable.

Every sample on this page keeps the formal register and still carries figures — ward size, error reduction, turnover growth, teaching hours, account numbers. The convention governs the grammar and the courtesy; it does not require you to be vague.

A useful habit: after writing the letter, count the numbers in it. If there are none, the letter is doing nothing your qualifications certificate does not already do.

The enclosure list

Number the enclosures and list them at the foot of the letter. This is not a formality — it is how the receiving clerk checks the file is complete, and an incomplete file is set aside before anyone assesses merit.

Standard list for most local applications: curriculum vitae, degree certificates and transcripts, experience certificates, professional registration, CNIC copy, domicile certificate for public sector posts, and photographs.

Two things that quietly reject files: photocopies where the advertisement said attested, and a missing domicile certificate on a public sector application where provincial quota rules apply. Read the advertisement twice and supply exactly what it lists.

Answer the advertisement in its own form.

All three samples are free to read and copy. Want them as editable Word files, or an application letter written to the advertisement in front of you? Both take a minute.

The people above are illustrative examples written for teaching purposes. Names, employers, registration numbers and figures are invented and should not be copied into a real application — use them as a shape to pour your own verified numbers into.
