A character reference is written by someone who has not employed you — a landlord, a community leader, a long-standing acquaintance — and it is asked for in situations where the stakes are unusually high. Vouching for someone means putting your own standing behind them, so the letter has to be careful about what it actually knows. Three samples: a tenancy, a visa application, and a court character reference.
The most common character reference and the easiest to write well, because everything in it is a matter of record.
Danish Raza was my tenant at Flat 3-B, Block 7, Johar Town, Lahore, from 1 September 2022 until 31 August 2025 — a period of three years.
The monthly rent was PKR 42,000. It was paid in full on or before the fifth of every month for the entire tenancy, with no exceptions and no requests for extension. The security deposit was returned in full at the end of the tenancy, as there was no damage beyond normal wear.
I received no complaints from neighbours during the three years. He gave the full two months notice required under the agreement, and left the flat clean and in good order.
I would rent to him again without hesitation and am happy to confirm any of the above by telephone.
Supporting a visa application. The reader is a visa officer assessing credibility, so the letter must establish how the writer knows the applicant and be scrupulously factual.
I write in support of the student visa application of Hamza Yousaf. I have known him and his family for eleven years, initially as a patient of mine and subsequently through our shared membership of the Lahore Engineering Society, where I sit on the advisory committee.
I am a consultant physician at Shaukat Khanum Memorial Hospital and have practised in Lahore for fifteen years. My contact details and professional registration are given above and may be verified.
Hamza completed his mechanical engineering degree at UET Lahore in 2026 with first-class honours and is registered with the Pakistan Engineering Council. To my knowledge he has lived at the same family address in Model Town throughout the period I have known him, and his parents and two sisters remain resident in Lahore.
I can speak to his character with confidence. He has volunteered with a community welfare programme I help fund for four years, working most Sundays, and has never given me any reason to doubt his honesty or his intentions. He has spoken to me at length about his plan to complete a masters and return to work in the manufacturing sector here.
I am content to be contacted directly should the embassy wish to verify anything in this letter.
The most serious version. A court reference must acknowledge the offence, avoid minimising it, and speak only to character. Getting this wrong actively harms the person it is meant to help.
I write as coordinator of the Community Welfare Trust, Multan, a position I have held for nine years. I have known Kashif Mehmood for six years as a volunteer with the Trust.
I understand that Mr. Mehmood has pleaded guilty to the offence before the Court. I have read nothing about the matter beyond what he has told me himself, and I do not seek to minimise it or to comment on it. I write only as to character, on the basis of what I have observed directly over six years.
Mr. Mehmood has volunteered at our distribution centre approximately two Saturdays a month since 2020, and has been responsible for the beneficiary register during that period. That register governs the distribution of goods to roughly four hundred families. He has handled it without any discrepancy arising in six years of quarterly checks.
He informed me of these proceedings himself, before I heard of them from any other source, and offered to step back from the register until the matter concluded. I declined that offer and he has continued in the role with the Trust's full knowledge.
I am aware that in writing this letter I am putting the Trust's name behind him, and I have considered that carefully. I remain willing to do so. I am content to attend Court or to be contacted should Your Honour require it.
A character reference asks you to lend your own standing to someone else, and the reader is assessing you as much as them. That means the letter must be scrupulous about the boundary between what you have observed and what you assume.
A short letter about what you genuinely know is worth far more than a long one that ranges beyond it, and a reader can tell the difference immediately.
A character reference for sentencing is a formal document read by a judge, and the most common mistakes actively harm the defendant.
And take direction from the defendant's lawyer before writing. Formats and expectations vary between courts, and a letter that does not follow the local convention may not be admitted.
You are entitled to decline, and there are situations where declining is the right decision for both of you.
Decline early and plainly, so they can ask someone else while there is still time. "I do not think I know your work well enough to write something useful — you would be better served by someone who has managed you" is kind, honest and leaves the relationship intact.
All three samples are free to read and copy. Want them as editable Word files, or a character reference drafted for a specific situation? Both take a minute.
