Set 03 · Resignation · Resignation Letters
Immediate resignation, said carefully.
Sometimes you cannot serve notice — a family emergency, a health problem, a situation at work that has become untenable, or an offer that will not wait. Leaving without notice has consequences, and the letter's job is to keep them as small as possible. Three samples: personal emergency, medical, and an unsafe or untenable situation.

Sample OneNo notice · Relocating urgently
A genuine emergency requiring immediate relocation. The letter is apologetic without being abject, and it offers what can still realistically be given.

Resignation with immediate effect — Administrative Officer
Dear Mr. Farooq,
I am writing to resign from my position as Administrative Officer with immediate effect, from today, 12 August 2026.
I am aware that my contract requires one month's notice and that I am unable to serve it. My father has had a stroke and I must relocate to Bahawalpur to care for him. This is not a decision I have taken lightly, and I am sorry to leave you in this position.
I have spent this morning writing handover notes on the filing system, the pending supplier correspondence and the three invoices awaiting approval. They are on the shared drive under my folder and I have also emailed them to you.
I am willing to answer questions by phone over the next few weeks, and I accept any deduction from my final settlement that the contract provides for. I am grateful for four good years here and sorry that they end this way.
With apologies and thanks,
Rukhsana Bibi
Why this one works
- The date of effect is stated twice. "With immediate effect, from today, 12 August 2026." There must be no ambiguity about when employment ended.
- It acknowledges the breach directly. "I am aware my contract requires one month and I am unable to serve it." Pretending otherwise antagonises; naming it invites leniency.
- It accepts the consequence in advance. Offering to accept the contractual deduction removes the argument before it starts and often results in it being waived.
- Handover was done before the letter was sent. Notes written that morning, on the shared drive and emailed. This is the difference between an emergency and an abandonment.
- The reason is one sentence. Enough to be understood, no detail owed.
Sample TwoHealth · Leaving on advice
Resigning on medical grounds. Privacy is protected — you do not owe a diagnosis — while giving enough for HR to process it correctly.

Resignation on medical grounds — Delivery Rider
Dear Ms. Shah,
I am writing to resign from my position as Delivery Rider on medical grounds. On my doctor's advice I am unable to continue riding, and my last working day was Saturday, 9 August 2026.
I have been signed off since 4 August and a medical certificate is enclosed. My doctor has advised that the restriction is not short-term, which is why I am resigning rather than asking for extended leave.
I have returned the company motorcycle, the delivery bag and the mobile handset to the depot supervisor, and the cash collection for the week ending 2 August has been settled in full.
I would be grateful if my final settlement, experience certificate and any leave encashment could be processed. I have valued three years with the company and would hope to be considered for office-based work in future if anything arises.
Yours sincerely,
Kashif Mehmood
Enclosed: medical certificate dated 4 August 2026
Why this one works
- No diagnosis is given. "On my doctor's advice, unable to continue riding" is complete. Your medical details are yours and HR does not need them.
- The certificate is enclosed. This converts an absence into a documented medical resignation, which protects entitlements and the record.
- Company property and cash are accounted for. For a role handling money and equipment this is the first thing that will be checked, and pre-empting it speeds the settlement.
- The door is left open. Asking to be considered for office-based work is realistic, costs nothing, and reframes the departure as a change of circumstance.
Sample ThreeLeaving because of conduct · Careful wording
The hardest one. Leaving because of how you have been treated, written so that it protects you legally and does not become a document you regret.

Resignation with immediate effect — Sales Officer
Dear Sir/Madam,
I am resigning from my position as Sales Officer with immediate effect, from today, 12 August 2026.
I am resigning because of the conduct I reported to the branch manager on 22 July 2026 and to your office on 29 July 2026, which has not been addressed and which has continued. I do not consider it possible to continue in the role.
I have set out the details in those two written complaints and I am not restating them here. I have retained copies.
I request that my final settlement, experience certificate and any outstanding leave encashment be processed in accordance with my contract, and I would ask that my experience certificate reflect my three years of service and my performance record, both of which are documented.
Yours faithfully,
Sana Bashir
Copies retained: complaints dated 22 July 2026 and 29 July 2026
Why this one works
- It references complaints by date rather than repeating them. This establishes a record without turning the resignation into a second complaint document.
- It states that copies are retained. One clause. It is a fact, not a threat, and it changes how carefully the letter is handled.
- No individual is named and no adjectives are used. "The conduct I reported" is precise and neutral. Anything more emotive weakens the position rather than strengthening it.
- It is addressed to HR, not the manager. Correct routing when the manager is part of the problem, and it creates an institutional record.
- The experience certificate request is specific. Asking that it reflect service length and performance makes a diminished certificate harder to issue quietly.
What leaving without notice costs
Before deciding, know what you are trading. In most Pakistani employment contracts, leaving without serving notice can mean:
- Deduction from final settlement equivalent to the unserved notice, where the contract provides for it.
- Withheld or delayed experience certificate, which you will need for every future application.
- Forfeited leave encashment or bonus, depending on the terms.
- A poor or refused reference.
- Reputational cost in a small industry, which is often the largest of these.
None of this makes leaving wrong. Some situations genuinely justify all of it. But make the decision knowing the price rather than discovering it at settlement.
How to reduce the damage
Whatever the reason, five things measurably improve the outcome, and all of them can be done in a single morning.
- Acknowledge the notice period you are not serving. Explicitly. It changes the tone of everything that follows.
- Hand over something, however rushed. Notes on the shared drive and an email are enough to distinguish an emergency from an abandonment.
- Return property and settle cash before or with the letter, and say that you have.
- Offer post-departure contact, even limited.
- Accept the contractual consequence in advance. Offering to accept the deduction frequently results in it being waived, and never makes things worse.
The organisation's reaction is driven less by the notice you failed to serve than by whether you appeared to care about the mess you left.
When the reason is the employer
If you are leaving because of harassment, unpaid wages, unsafe conditions or similar, the letter is a legal document before it is a courtesy. Write it accordingly.
- State the reason factually and briefly, referencing prior complaints by date. Do not restate the detail.
- Name no individuals unless legally necessary, and use no adjectives.
- Say that you have retained copies of any complaints. One clause.
- Address it to HR, not to the person involved.
- Keep everything — the letter, the acknowledgement, prior complaints, and any relevant messages — outside company systems.
- Request your settlement and experience certificate explicitly, in the same letter.
And take advice before sending if the amounts or the conduct are serious. A resignation letter written in anger is quoted back at people in tribunals more often than any other document, and a measured one is far harder to argue with.
Leave quickly, but leave a record.
