Set 01 · After the Interview · Free

After the interview, within a day.

Almost nobody sends one, which is exactly why it works. A thank you note sent within twenty-four hours puts your name back in front of the interviewer while they are still deciding, and gives you one more chance to answer the question you fumbled. Three samples: the standard note, the one that repairs a bad answer, and the one sent after a panel.

Short, specific, and it references something that was actually said. That last part is what separates it from a template.

Ms. Farah Naz Head of Marketing Shan Foods Karachi
Thank you — Marketing Manager interview, 12 August
Dear Ms. Naz,

Thank you for your time this morning. I enjoyed the conversation more than I expected to, particularly the part about why the last agency consolidation stalled.

It has stayed with me. You mentioned that the three remaining agencies each defended their own reporting model, and that measurement never became comparable. When I did something similar we solved that by agreeing a single attribution model before cutting anyone, which was slower to start and removed most of the argument later. I would be glad to talk it through properly if it is useful.

The role is one I want. If there is anything further you need from me, please just ask.

With thanks,
Sana Iqbal

Why this one works

Sample TwoOne question went badly

The most valuable use of a thank you note. You get one more attempt at the question you handled poorly, and doing so is read as self-awareness rather than weakness.

Mr. Yasir Ahmed Engineering Manager Careem Karachi
Thank you — Senior Engineer interview, and a better answer
Dear Mr. Ahmed,

Thank you for the interview yesterday. I wanted to follow up on one question I answered poorly.

You asked how I would approach a database migration with no downtime and I gave you a vague answer about replication. The honest answer is that I have not done a zero-downtime migration at your scale. What I have done is a read-replica cutover on a service handling 15,000 transactions a month, where we ran dual writes for eleven days, verified consistency with a reconciliation job, and cut over during a low-traffic window with a tested rollback. It went without incident, but I know that is a much smaller problem than the one you described.

I would rather tell you that than leave you with the impression I gave in the room. The rest of the conversation I enjoyed, particularly the discussion about paying down reliability debt as a standing allocation rather than a project.

With thanks,
Hamza Ali

Why this one works

Sample ThreeThree interviewers · One note each

Panels need separate notes, each referencing that person's own question. Sending one identical note to three people is worse than sending none, because they compare.

Mr. Imran Khalid Chief Operating Officer Telenor Pakistan Islamabad
Thank you — Head of Customer Experience panel, 12 August
Dear Mr. Khalid,

Thank you for your time this afternoon, and please pass my thanks to Ms. Baig and Mr. Raza — I am writing to them separately.

Your question was the one I have thought about since: whether cost per contact can keep falling once the easy self-service volume has moved. I do not think it can, and I said so. What I did not say clearly is where I would look next — the second wave is usually in repeat contacts, which are cheaper to remove than they look because they are caused by something upstream. In my last role about a fifth of volume was people calling twice.

I would be glad to go into that further. Thank you again for a genuinely interesting conversation.

With thanks,
Amna Siddiqui
Why this one works

Why it works

The mechanism is unglamorous. Interviewers see several candidates over several days and then discuss them, often a week later, from memory and rough notes. Anything that puts your name and one specific idea back in front of them during that window has a disproportionate effect.

The second reason is that hardly anyone sends one. In most hiring rounds a thank you note arrives from perhaps one candidate in ten, and it is noticed every time — not as flattery, but as evidence of how you follow up on things generally.

And the third: it is your only opportunity to correct something. Interviews are lossy. You forget an example, misunderstand a question, or answer the question you expected rather than the one asked. The note is a second attempt, and taking it is read as self-awareness.

The rules

And do not ask about timelines. The note should cost them nothing to read and require no reply. If you need a timeline, ask at the end of the interview, which is the right moment for it.

Three rewrites

Weak

Thank you for taking the time to meet with me today. I really enjoyed learning more about the role and your company.

Strong

Thank you for your time this morning. I enjoyed the conversation more than I expected to, particularly the part about why the last agency consolidation stalled.

The first could have been sent to any employer on earth. The second could only have been sent to this one.

Weak

I believe my skills and experience make me an excellent fit for this position and I would be a great asset to your team.

Strong

You mentioned the three agencies each defended their own reporting model. When I did something similar we agreed a single attribution model before cutting anyone, which removed most of the argument later.

Assertion, or a useful idea. Only one of them gets forwarded to a colleague.

Weak

Please let me know if you need any additional information. I look forward to hearing about next steps at your earliest convenience.

Strong

The role is one I want. If there is anything further you need from me, please just ask.

The first asks for something. The second offers something and closes cleanly.

This one stays free, always.

Take the samples and write yours the same evening. If you would rather paste in what was discussed and have the note drafted, Hexa does it in about a minute.
